Fall 2016 Enhancements

The Technology Committee is pleased to announce enhancements to JIDS which will be live on Monday, November 14. Check this article for a overview of enhancements, updates, links to training materials, and training dates.

Forms

Form Enhancement

Form III: Return of Out of State Juvenile

Remove "Home/Demanding State's Contact Name and Phone #"

Add "Juvenile's Physical Location in Holding State" section. 

Auto-populate state fields. 

Form IV: Parole or Probation Investigation Request

 

The Minimum Parole/Probation Expiration Date field will no longer be required.

Auto-populate state field.

Form VII: Travel Permit

Remove "He/She" check boxes and replace with "During which time the juvenile"

Remove "Mode of Transportation" and "Complete by:" fields and make "Special Instructions" section larger. 

Language edits to the middle paragraph section.

Workflows

Workflow Enhancement
Travel Permit - Visit

Automatically change the case status on File Details page to "Closed" and enter the Case Closure Date when the workflow is completed. This will only affect files that have TRAVEL listed at the type.

Travel Permit - Testing Residence

When the Receiving State receives the workflow, they have two options:

  • Request Referral Packet, or
  • Cancel

The file returns to Sending State who has three workflow options:

  • Residence Not Pursued,
  • Residence Pursued, or
  • Cancel

The Sending State has 30 calendar days to decide if the residence will be pursued.

If the residence is not pursued the workflow ends. If the residence is pursued the file automatically enters the Request for Transfer of Supervision workflow. The Sending State adds the transfer packet (Forms IA/VI, IV, and V, and other applicable documentation) and sends the file back to the Receiving State to complete the home evaluation.

Voluntary & Non Voluntary Return Workflows

Automatically change case status on File Details page to "Closed" and enter the Case Closure Date when the workflow is completed.

NEW: Home Evaluation Workflow

One-way, intrastate workflow to send the Home Evaluation from Receiving State JPO/JPS (field users) to Receiving State ICJO (compact office). 

QPR Workflow

Receiving State ICJO (compact office) has three options:

  • Send QPR: Continue Supervision,
  • Send QPR: Request Discharge, or
  • Cancel

If discharge is requested by the Receiving State, the file enters a 60 calendar day timer for the Sending State to respond to the request.

If the Sending State approves the request for discharge, the file automatically enters the Case Closure - From Sending State workflow. The Sending State then adds a Form X: Case Closure Notification to the file and sends the workflow to the Receiving State for closure.

Violation Report & Reply

The Receiving State ICJO (compact office) has three options:

  • Send Violation Report: Continue Supervision,
  • Send Violation Report: Request Revocation,
  • Send Violation Report: Request Discharge, or
  • Cancel
The file enters a 10 business day timer for the Sending State the respond to the violation report.

If the Sending State will retake the juvenile, the Receiving State starts the Return for Failed Supervision workflow. If the Sending State will close the case, they enter a Form X and start the Case Closure - From Sending State workflow. Alternately, the Receiving State can start the Case Closure - From Receiving State workflow. 

Request for Transfer of Supervision Workflows (included both expedited)

Workflow edit to ensure that the Workflow Status field on the File Details page is blank when the Receiving State receives the request for investigation.
